How to use InboxChat to organize and sort your emails

InboxChat makes managing your emails easy with AI-powered automations. Choose from premade templates or create custom prompts, and put your email management on autopilot . Follow this guide to get started.

Option 1: Choose from Premade Templates

InboxChat offers a range of premade automation templates to get you started quickly.

  1. Choose Template

    1. Click on "Create New Automation" button in the Automations page.

    2. Choose from popular options such as:

      • Job Tracker: Keeps track of job-related emails under Job Applications..

      • Finance Organizer: Sort invoices into a “Finance & Expenses” folder.

      • Orders: Sort order confirmations, shipping updates, and delivery notifications into Orders”.

      • Unverified Sender Screening: Move emails from unknown senders to a “Review Later” folder.

  2. Customize the Template (Optional)

    • Edit the folder or label names to fit your needs.

    • Add additional actions, such as extracting data or generating drafts.

  3. Activate the Template

    • Click "Save" to start using the template immediately.

Option 2: Create Automation From Scratch

If you want more control, you can create your own AI prompt for your automation.

  1. Go to the Automations Page

  2. Click ‘Create New Automation’

    • Select “Create from scratch” to build new automation.

  3. Write Your Prompt for AI to use as Filter

    • Be clear and specific. Examples:

      • "If Email must belongs to Invoice, Payment orders, transactions, payments, bills, account statements or other financial document. It must have transaction amount."

  4. Select an Action

    • Choose what happens to emails that match your prompt:

      • Move to Label: Categorize into a specific folder.

      • Remove Label: To mark as Read you can remove Unread Label.

      • Extract Data: Save key information from the email.

      • Prepare Draft: Generate a response draft.

  5. Save and Activate

    • Once satisfied, save your automation and let AI start working.
